Key responsibilities:   

  • Own the coordination of internal and external meetings—including scheduling, AV setup, and materials preparation—with a focus on accuracy and anticipating logistical needs. 

  • Manage complex calendars, travel arrangements, and expense reports, ensuring every detail is accounted for and proactively resolve conflicts or issues. 

  • Prepare, proofread, and format documents and presentations using Microsoft Office Suite, with a sharp eye for grammar, consistency, and visual clarity. 

  • Support departmental projects, webinars, and special events, taking initiative to streamline processes and ensure nothing falls through the cracks. 

  • Oversee mailroom operations, shipments, and front office tasks with reliability and a commitment to maintaining a professional environment. 

Requirements:    

We’re looking for candidates with 1–3+ years of administrative experience and a track record of excellence. Ideal candidates will demonstrate: 

  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams, SharePoint). 

  • Meticulous attention to detail—you catch what others miss. 

  • A self-starter mindset—you take initiative and follow through. 

  • Strong verbal and written communication skills, including proofreading ability. 

  • Ability to manage multiple priorities with grace and professionalism. 

  • A collaborative spirit—you work well on a team and contribute to shared success. 

Work Schedule: 

This position is Monday through Friday, 8:00 a.m. to 4:30 p.m., with two telework days per week and flexibility based on front office coverage needs.
